Event Management Services

UT Conferences provides inclusive event planning and management services and endeavors to partner with and support clients throughout the planning and implementation process. We are a certified ACCED-I One Stop Shop, which means we provide one contact, one contract, and one invoice for all event services. Our staff makes every effort to provide a level of hospitality and service above and beyond what is typically expected. 

UT Conferences’ professional meeting planners, event designers, and registration personnel can custom design an on-campus or off-campus event to fit your needs. Clients get to pick and choose our services. We can do as much as little as you need for your event. We love to start with clients from the beginning during the budgeting process so that our services are completely covered by any participant registration fees that may be charged. Prior to submitting a proposal, we prefer to have an on-campus site visit to determine the specific event needs. This allows us to gather as much information as possible about your event and helps us to submit a comprehensive proposal with accurate pricing. Facility and Housing Management

We wanted to highlight a few of our main services including our facility and housing management services. The University of Tennessee and Knoxville are perfectly situated to host your next event. Our on campus Arena seats 21,000 attendees. We have a brand new Student Union, located in the heart of campus, and is designed to provide optimal event and meeting venues, offering a variety of spaces equipped with state-of-the–art audio-visual capabilities. However, if you are looking for something a bit more intimate, our Conference Center is the perfect location. It is located adjacent to campus in downtown Knoxville. Your attendees will be within walking distance of restaurants, entertainment and nightlife. We would work with you to determine the best space for your group and then serve as the main point of contact for the facility on your behalf.

Our housing management services are another way we can assist with making your event a success. We can arrange and manage housing blocks for your guests both in the on-campus residence halls and in hotel properties. We have the 5,000+ bed spaces on campus that are available in the summer for Conference guests. Additionally, downtown Knoxville offers 8 national flag hotels, with more being built. Transportation to and from these locations, as well as a full service event shuttle is also available for your attendees.

Registration Services

We offer comprehensive registration services to clients of all sizes. We can handle pre-registration needs as well as on-site registration services for events. We create custom registration pages for your attendees to register easily online. Customized reports are available 24/7 to our clients through your management login. We can build schedules based on attendee selections, we have an attendee mobile application so that their schedule and event information is viewable on their mobile device and we can even add QR codes to the name badges to scan attendees in and out of sessions, to name a few capabilities. Our staff serves as an extension to your team, providing friendly customer service for any event questions from your attendees. Participants can register at their conveniences, 24 hours a day: we can process registrations via phone, online, U.S. mail, courier services, or fax.
